This workshop will help professionals across the municipal recreation sector look beyond the totals. Learn to use specific data points such as unique registrations, postal codes, registration record creation dates and times, membership sales, and attendance records to uncover more meaningful insights into program demand, population penetration, participation patterns, and cross-program engagement. A major focus of the session will be helping participants ask better questions of their data: are we measuring volume, demand, access, or behaviour? Using raw registration, membership sales, and attendance data, attendees will learn how basic Excel tools, including sorts, filters, formulas, and pivot tables, can transform exported data into clear, practical, and easily digestible metrics, while advanced tools such as AI can open the door to levels of analysis that were previously too difficult or time-consuming. The session will focus on approaches municipalities can use to identify participation trends, understand unmet demand, examine who is registering and who may be missing, compare program supply against available spots, and support better decisions around scheduling, capacity, marketing, and service planning. No advanced analytics platform required just better questions, better spreadsheets, and fewer mystery tabs. Please note: This session is presented using data from Xplor Recreation databases, so specific formats, terminology, available fields, and data points may vary in other recreation software applications or municipal configurations.
